1. What Everkey is
Everkey is a record-keeping tool for freelancers and small studios who manage digital assets on behalf of clients. You use it to record which domains, hosting accounts, mailboxes, SaaS subscriptions and similar assets exist for each client, who owns them, how they are accessed, and when they renew. Everkey shows you how ready each client is for handover, sends renewal reminders, and can produce a read-only continuity pack that you share with that client.
2. What Everkey is not
This section matters more than most. Please read it.
- Everkey is not a password manager.It stores no passwords, API keys, recovery codes, or other secrets. Fields such as “credential location” exist to record wherea credential is kept — for example, “in the client’s 1Password vault” — never the credential itself. Putting a secret into any Everkey field breaches section 5 below.
- Everkey is not a backup, an escrow service, or a custodian.We hold a description of your clients’ assets. We do not hold the assets themselves, we cannot restore access to them, and we have no relationship with the registrars, hosts, or providers behind them.
- Everkey is not legal, tax, or professional advice. Readiness scores and continuity packs are organisational aids. Whether a particular handover satisfies a contract or a legal obligation is for you and your advisers to decide.
3. Your account
You must be at least 18 years old and able to enter into a contract. Everkey is intended for business use, not for consumers managing their personal accounts.
You sign in with a code or link sent to your email address. This means access to your inbox is access to your account — secure your email accordingly. Keep your address current, because notices under these terms are sent there.
An account is for one person or one business. Do not share sign-in access with others. We do not currently offer team seats or shared accounts. You are responsible for everything done through your account.
4. Your data, and your clients’ data
You own what you enter. We claim no ownership over your client records, asset records, or notes. You grant us only the limited licence needed to run the service: to store, process, and display your data back to you, to send the reminders you have configured, and to render any continuity pack you choose to share.
We do not sell your data, we do not use your client records to train machine-learning models, and we do not disclose them to anyone other than the service providers listed in the Privacy Policy.
Where you record personal data about your clients — a name, a contact email — you are the controller of that data and we act as a processor on your instructions. You confirm that you have a lawful basis for recording it. If you need a data processing agreement, email us and we will provide one.
Export. You can download your clients and assets as a CSV file at any time, from Settings — no request and no waiting. For a full export of everything we hold about your account, email support@geteverkey.com and we will send it within 30 days. Both apply regardless of which plan you are on, including after a subscription has ended.
5. Acceptable use
You must not:
- store passwords, API keys, private keys, recovery codes, two-factor seeds, or any other secret in any Everkey field, including free-text notes;
- record data about a third party that you have no right to hold;
- use Everkey for anything unlawful, or to harass or infringe the rights of others;
- resell, sublicense, or white-label Everkey without our written agreement;
- probe, scrape, overload, or attempt to circumvent the limits of the service, or access it by automated means beyond normal use of the application;
- represent that Everkey guarantees the recovery of any asset, or that a readiness score constitutes a professional or legal assurance.
We do not scan your notes. If a secret comes to our attention, we may ask you to remove it, and may suspend the account under section 10 if you do not.
6. Continuity packs and shared links
A continuity pack is a read-only page at an unguessable URL. Anyone holding that link can open it without signing in. The page is marked as not indexable by search engines and is excluded from our sitemap, but you should treat the link as semi-public: send it to your client, not to a public forum.
You control the link. You can create it, rotate it (which immediately invalidates the previous URL), or disable it at any time from the client’s page. Archiving a client also disables its link.
Packs never contain credentials. They do contain whatever you have typed into the client and asset records, including notes — which is another reason not to type secrets into them.
7. Plans, prices, and payment
Everkey offers a Free plan and one or more paid plans. Current prices, limits, and features are on the pricing page, which forms part of these terms.
Payments are handled by Paddle.Paddle acts as the merchant of record and authorised reseller for Everkey subscriptions. Your purchase contract for the subscription is with Paddle, Paddle’s own terms and checkout terms apply to that purchase, and Paddle handles billing, invoicing, and any sales tax, VAT, or GST. We never see or store your card details.
Paid plans renew automatically at the end of each billing period until you cancel. You can cancel at any time from the customer portal linked in your settings; access continues until the end of the period you have already paid for.
Prices are shown in US dollars and exclude taxes. Any applicable tax is calculated and displayed at checkout.
We may change prices with at least 30 days’ notice by email. A change takes effect at your next renewal, never mid-period.
If a payment fails, Paddle will retry it. If it remains unpaid, your account moves to the Free plan under section 8. We do not delete accounts for non-payment.
8. What happens when you stop paying
Everkey sells continuity. Holding your records hostage would defeat the point of the product. So when a paid subscription ends for any reason — you cancel, a payment fails, or you downgrade — and your account is above the Free plan’s limits:
- every client and asset you have already recorded stays readable, with no time limit;
- you can still download your data, and still request a full export, under section 4;
- continuity packs you have already shared with your clients stay live;
- only the creation of new clients and assets is blocked, until you are back under the limit or subscribe again.
Renewal reminders are a service rather than stored data, so they follow your plan. Paid plans are warned 30, 14, and 7 days before a renewal; the Free plan receives the 7-day warning. You are still warned before a client’s asset expires, on every plan — a domain lapsing in silence is the outcome this product exists to prevent.
We will not delete your records because you stopped paying. Deletion happens when you ask for it, and not otherwise.
9. Availability and changes to the service
We aim to keep Everkey available and working, but at these prices we do not offer an uptime guarantee or a service level agreement. Planned maintenance, third-party outages, and faults will happen.
We may add, change, or remove features. If we materially reduce a feature you are paying for, we will give notice by email.
If we ever decide to discontinue Everkey, we will give at least 90 days’ notice and keep export available throughout that period.
10. Suspension and termination by us
We may suspend or terminate an account that breaches section 5, is used unlawfully, presents a security or stability risk to the service, or is associated with payment fraud or repeated chargebacks.
Except where the breach is serious or unlawful, we will contact you first and give you a reasonable opportunity to put it right. If we terminate an account for breach, we will make an export available for 30 days unless the law prevents us from doing so.
11. Ending your account
You can cancel a paid subscription at any time from the customer portal, and you can delete your account from Settings. Deletion is immediate and permanent — see the Privacy Policy for exactly what is removed. Export your data first if you want to keep it.
12. Disclaimers
Everkey is provided “as is”. To the extent permitted by law, we exclude all implied warranties.
In particular, we do not warrant that:
- the information in your account is accurate or complete, because you entered it;
- a readiness score of 100% means a handover will actually succeed;
- any asset recorded in Everkey can be recovered, transferred, or renewed.
Always confirm ownership and access directly with the provider that holds the asset. Everkey is a record of what you believe to be true, not a source of truth about third-party accounts.
13. Limitation of liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited under Malaysian law or under the mandatory consumer law of your country of residence.
Subject to that, we are not liable for loss of profit, revenue, business, or goodwill; for loss or corruption of data beyond restoring what we hold; or for the loss of any domain, hosting account, mailbox, or other asset, or any consequence of a handover that did not go as planned.
Our total liability for all claims in any 12-month period is limited to the greater of the fees you paid us in the 12 months before the claim arose, or USD 100.
14. Indemnity
You will indemnify us against third-party claims arising from data you recorded in breach of sections 4 or 5, or from your unlawful use of the service.
15. Changes to these terms
We may update these terms. For material changes we will give at least 14 days’ notice by email before they take effect. Continuing to use Everkey after that date means you accept the new terms. If you do not, you can cancel, and the Refund Policy applies.
16. General
If any provision of these terms is unenforceable, the rest remains in force. Our failure to enforce a provision is not a waiver of it. You may not transfer your rights under these terms without our consent; we may transfer ours if the business is sold, on notice to you. Neither party is liable for failure caused by events outside its reasonable control. These terms, together with the Privacy Policy, Refund Policy, and pricing page, are the entire agreement between us.
17. Governing law
These terms are governed by the laws of Malaysia, and the courts of Malaysia have exclusive jurisdiction. If you are a consumer resident elsewhere, any mandatory consumer protections of your country of residence continue to apply.
Before starting any formal dispute, please email us. Most problems are resolved that way.
